Writing

Signatures

Create several signatures per mailbox, pick the one for new messages and replies, and switch while you write.

On this page

Each mailbox can have several signatures, for example “Work” and “Short”. You choose which one is added by default and can switch at any time while writing. Your signatures are synced across all your devices.

Create a signature

  1. Open the account’s settings:
    • on desktop: Settings, then the account under Mail accounts;
    • on mobile: Settings, then the account.
  2. In Signatures, choose Add a signature.
  3. Give it a name (Work, Short, Personal…) and write it: bold, italics, links, lists and images all work.
  4. Save.

You can create up to 20 signatures per account. Each can be up to 100 KB, images included.

Default signature

Still in the account’s settings, choose:

  • the signature for New messages;
  • the one for Replies and forwards: another one, none, or Same as new messages.

Switch signatures while writing

In the composer, click the signature to open Choose signature: pick another one, No signature, or Edit signatures… to jump to the settings. If the account has none yet, + Add a signature shows instead.

When you change the sender (From field), the new account’s signature takes over.

HTML signature

Have a designed signature (table, logo, colors)? Choose Edit HTML and paste your code. The HTML is cleaned up when saved (no scripts are kept). Preview shows the result.

Important: the visual editor doesn’t support all advanced HTML (tables, styles, image sizes…). If you switch back to the Visual editor, Heron warns you that the signature will be simplified.

Good to know: AI agents use your signatures too: the default signature is added below their drafts. See AI agents.
