Getting started
Manage your mailboxes
Rename a mailbox, change its color or sender name, reorder your accounts, or remove a mailbox.
On this page
Each mailbox has its own settings: name, color, signatures, connection. Most of them are synced across all your devices.
Open a mailbox’s settings
- On a computer: Settings (⌘ , or Ctrl ,), then click the mailbox in the Mail accounts list. You can also use Account settings from the sidebar.
- On mobile: Settings → tap the mailbox under Mail Accounts.
Name, color and sender
- Account name: the name shown in Heron (“Personal”, “Work”). If empty, the address is shown.
- Sender name: what your recipients see, as in “Camille Martin <camille@example.com>”.
- Color: the dot that marks this mailbox’s messages in All Inboxes.
These follow you on all your devices. Signatures are set up in the same place: see Signatures.
Change the account order
The order you choose is used everywhere: sidebar, All Inboxes, sender picker. It’s synced.
- On a computer: in Settings, click Organize next to Mail accounts (shown once you have two mailboxes), then drag the accounts. With the keyboard: ⌥ ↑ / ⌥ ↓ (Alt ↑ / Alt ↓ on Windows and Linux).
- On mobile: Settings → Mail Accounts → Edit, then drag accounts by the ≡ handle.
Choose what this device shows
In a mailbox’s settings, two options only apply to the device you set them on:
- Notifications on this computer: get notified of new messages in this mailbox.
- In All Inboxes on this computer: if off, the mailbox stays available in its own section but no longer appears in unified views or their counts.
On mobile, the same choices live in Settings → Notifications & Display. For example, your work phone can show only your work mailboxes.
Change the password or servers
The Server & Connection section lets you change the username, password and IMAP/SMTP servers. Heron checks the connection before saving. Mailboxes connected with Google or Microsoft have no password: if something goes wrong, use Sign in again with Google or Sign in again with Microsoft.
Remove a mailbox
At the bottom of the mailbox’s settings, click Remove this account and confirm. The mailbox disappears from all your devices. Your emails stay with your provider: you can add it back later.
