Getting started

Sync across devices

What follows you from one device to another (mailboxes, settings, message state) and what stays specific to each device.

On this page

Your Heron account links all your devices. Add a mailbox on your computer: it also shows up on your other computer and on your phone, with nothing to type again.

What syncs

  • Your mailboxes and their credentials (encrypted), names, colors, order and signatures.
  • Message state: read, unread, flagged, archived, moved, deleted. It updates live on all your devices, and in any other mail app, since your mail server keeps it.
  • Your drafts, saved in the mailbox’s Drafts folder.
  • Snoozed, pinned and set-aside messages, and scheduled sends.
  • Your general preferences: language, appearance, list preview, conversation view, undo send delay, smart inbox, Gatekeeper, remote images and trusted senders, swipe actions, AI agent access.

What stays on each device

Some choices depend on the device and are not synced:

  • Notifications: off everywhere, or mailbox by mailbox.
  • Which mailboxes appear in All Inboxes.
  • On a computer: Open Heron when your computer starts and Unread count on the app icon.

On a computer, these settings are in Settings → On This Computer. On mobile, in Settings → Notifications & Display. For example, your work laptop can notify you only for your work mailbox, and your phone only for your personal one.

Mailboxes added later are notified and shown by default on each device.

How it works

Heron keeps a connection open to each of your mailboxes. When an email arrives, your open apps are told right away and your phone gets a notification. Heron doesn’t keep the full content of messages or attachments: they’re read from your mail server when you open them. See Data we store.

A message is missing?

  • Refresh the list with ⌘ R (Ctrl R on Windows and Linux), or pull the list down on mobile.
  • Check that the mailbox isn’t hidden from All Inboxes on this device.
  • If a banner reports a connection problem, see Account error.
